Estimating
Workflow Guide
A step-by-step reference for building accurate estimates — from job setup through PDF delivery, budget management, and work order creation.
Phase 1  ·  Set Up the Estimate
Phase 2  ·  Add Rooms

Every line item in Quote Pro Quo belongs to a room. Add your rooms one of two ways:

Option A
✏️ Manual Room Entry
  • 1
Click the ➕ Add Room button
  • 2
Enter the room name and dimensions (Length, Width, Height in feet)
  • 3
Click Save to save the room
  • 4
Repeat for every room in the property
You can rename or edit dimensions at any time using the Edit button next to each room.
Option B — RoomPlan Scan
📱 3D Room Scan Import
  • 1
Open the RoomPlan app on your iPhone. Choose single or multiple room mode.
  • 2
Scan slowly — cover every wall in each room multiple times to reinforce accuracy.
  • 3
Save the scan, then export the .usdz file with a memorable name. Save to Files on your phone.
  • 4
Transfer to your laptop — import from phone directly or email to yourself and download.
  • 5
In Quote Pro Quo, open the estimate and click 📥 Import. Select the .usdz file.
  • 6
Rooms populate automatically. Review every room name and dimension — edit anything that looks off.
Scan import is a time-saver but dimensions are estimates. Always verify against your own measurements before finalizing.

For exterior jobs (roofing, siding, gutters, trim) — a faster alternative:

Option C — Exterior Jobs
📐 Hover Measurement Import

Hover is an aerial measurement service. If a Hover report has already been ordered for the property, you can import the JSON measurement file directly into Quote Pro Quo — no manual room entry needed for exterior work.

  • 1
Log in to the Hover dashboard and open the completed job for the property.
  • 2
Click Download and select the JSON measurement export. Save it to your computer.
  • 3
In Quote Pro Quo, open the estimate and click 📥 Import. Select the downloaded .json file.
  • 4
QPQ automatically creates rooms for each exterior section — Roof Field, Ridges & Hips, Valleys, Rakes, Gutters/Eaves, Flashing, Step Flashing, Siding Net Field, Soffit, Fascia, Frieze Board, Trim, Outside Corners.
  • 5
A Hover Measurements panel appears below the room list, showing all raw data organized by section. Keep it open as a reference while you build the estimate.
  • 6
Review the room list. Rename any rooms as needed, then proceed to Phase 3 to add line items.
Hover-imported rooms can coexist with manually-entered interior rooms. Use Option A to add interior rooms on the same estimate.
Add a "General Items" Room After adding the property rooms, add one more room called General Items. Use it for job-wide costs that don't belong to a specific room — permits, dumpster rental, mobilization fees, etc.

iOS App  ·  Getting Started
📱 About the iOS Companion App
The Quote Pro Quo iOS app is a native iPhone and iPad app that connects directly to your QPQ account. Everything you create on the app appears instantly on the web app and vice versa — they share the same estimates, catalog, and account. The iOS app adds one major capability the web app doesn't have: LiDAR room scanning using your iPhone's built-in depth sensor.

iOS App  ·  LiDAR Room Scanning

The QPQ iOS app uses your iPhone's built-in LiDAR sensor (via Apple's RoomPlan framework) to measure rooms in seconds. Scanned dimensions feed directly into the estimate — no manual entry required.

Quick Reference — Built-In Quantity Calculations

Every line item quantity field accepts a number, a formula, or any of the shortcuts below. Shortcuts are resolved automatically using the room's saved dimensions (Length, Width, Height). You can combine them with arithmetic — e.g. WLL*0.9, FLR*1.1, L*H*2. The × and x characters are treated as multiplication (same as *).

Room Dimensions
Code Formula What it represents Example (12 × 10 × 9 room)
L Room length in feet The longest dimension of the room as entered. Use for linear-foot items that run the length of the room — base trim on one wall, crown on one wall, etc. L = 12 LF
W Room width in feet The shorter dimension of the room as entered. Use for items that span the width — a single wall's trim, one run of flooring, etc. W = 10 LF
H Room height in feet Ceiling height. Use for vertical measurements — one wall's drywall height, a single door or window's height, wainscoting on one wall, etc. H = 9 LF
Derived Area & Perimeter Calculations
Code Formula What it represents Example (12 × 10 × 9 room)
FLR L × W Floor area in square feet. The total footprint of the room. Use for flooring, floor demo, vapor barrier, floor insulation, subfloor, LVP, tile — any material laid flat on the floor. 12 × 10 = 120 SF
CLG L × W Ceiling area in square feet. Mathematically identical to FLR — the same footprint applies to the ceiling. Use for ceiling paint, texture, drywall, acoustic tile, ceiling demo. 12 × 10 = 120 SF
WLL 2 × (L + W) × H Total gross wall area in square feet — all four walls combined. Use for drywall, paint, wall insulation, wall demo. Deduct for openings as needed (e.g., WLL*0.9 to remove ~10% for doors and windows, or WLL − OA if scan data is available). 2×(12+10)×9 = 396 SF
WA 2 × (L + W) × H Wall area alias — identical to WLL. Either code may be used interchangeably. 396 SF
WA_NET WLL − OA Net wall area — gross wall area minus the total area of doors and windows (OA). Only populated when a scan import provided opening geometry. Use when the scan detected openings accurately. Depends on scan
PF 2 × (L + W) Room perimeter in linear feet — the total length of all four walls at floor level. Use for base trim, base cap, cove base, perimeter blocking, wall base insulation, and any item billed by the linear foot around the room. 2×(12+10) = 44 LF
PC 2 × (L + W) Perimeter alias — identical to PF. Either code may be used. 44 LF
VOL L × W × H Room volume in cubic feet. Use for HVAC load calculations, mold remediation by cubic footage, air scrubber placement, dehumidifier sizing, and spray foam insulation volume. 12×10×9 = 1,080 CF
SQR (L × W) ÷ 100 Roofing squares — floor area divided by 100. One roofing square = 100 SF of surface area. Use for shingles, roof decking, ice-and-water shield, roofing felt, and any roofing material billed per square. 120 ÷ 100 = 1.2 SQ
A L × W Area alias — identical to FLR and CLG. Provided as a shorthand for custom expressions like A*1.1 (add 10% waste) or A/4 (one quarter of the floor). 120 SF
OA Scan data Openings area in square feet — the combined area of all doors and windows detected in an imported scan. Zero if the room was added manually. Use in formulas like WLL − OA to get true net wall area. Populated by scan
OC Scan data Openings count — the number of door and window openings detected in an imported scan. Zero if manual. Use to price per-opening items like door hardware, weatherstrip, or casing sets. Populated by scan
pi 3.14159… Pi — available for circular or curved surface calculations. Example: area of a circular column with 2 ft radius = pi*2*2 (≈ 12.6 SF). 3.14159
Common Formula Examples
Enter this What it computes Typical use
FLR Full floor area (L×W) Flooring, floor demo, carpet, tile, LVP
FLR*1.1 Floor area + 10% waste Tile, hardwood — add waste factor for cuts
CLG Full ceiling area (L×W) Ceiling paint, ceiling texture, ceiling demo, drywall hung on ceiling
WLL All 4 walls combined (gross) Drywall hung, wall paint, wall demo, insulation batts
WLL*0.9 Wall area minus ~10% for openings When manually deducting for doors/windows without scan data
WLL - OA Net wall area (scan-derived) Precise deduction using opening geometry from RoomPlan scan
PF Room perimeter (all 4 sides) Base trim, cove base, wall base, crown moulding on all walls
L*H*2 Two opposing walls only Demolition or drywall on 2 parallel walls, not all 4
L*H One wall only (length × height) Single-wall scope — accent wall, feature wall, one run of demo
VOL Room volume in cubic feet Mold remediation scope, air scrubber count, HVAC sizing
SQR Floor area ÷ 100 (roofing squares) Shingles, roofing felt, decking — any roofing material billed per SQ
OC Count of doors/windows (scan only) Door hardware sets, casing sets, weatherstripping — one per opening
Tip: All codes are case-insensitive — flr, FLR, and Flr all work the same way. You can freely mix codes and numbers in one expression: PF - 3 (perimeter minus one 3-ft doorway), WLL/2 (half the wall area), or L*H + W*H (two adjacent walls).
